Are You Prepared For A Long EMR Outage?

Patients and Staff are counting on you to be ready.
Simple Effective Affordable
Even in the worst case scenario (a cyber attack resulting in no network and no servers) your staff will be able to access all the forms they need.
And you can distribute updates to all locations with the push of a button.
Centralize forms management and effortlessly distribute current versions to all target departments.
Works in the worst case downtime scenario, when you have no servers and no network, staff can print blank forms, or print forms and patient labels with patient identifiers including bar codes. Simple, intuitive search for forms and form Packets.
The system also houses a phone directory and document repository for policies and other resources.
When you come back up, barcoded form and patient information will enable auto-indexing of bulk scanned forms, enabling you to accelerate your revenue cycle and documentation recovery.
Capture a log of forms printed by location. Log entries will include patient identifiers when staff include those when they print forms. The Print Log will help identify forms you should be looking for and associated orders, procedures, and charges (If your staff enter basic patient information and print their forms with those patient identifiers).
Satisfy JCAHO (EM.11.01.01) requirement for availability of Forms, Labels and Reference Material in a downtime.
Satisfy SAFER Guidelines, Recommended Practice 1.3 Paper Forms Availability (August 2024 version).
Save time keeping downtime forms binders and inventories current.
Eliminate warehousing forms and guessing how many copies of each form you will need available in each location.
Eliminate management of store rooms in all of your locations and the need to activate forms distribution when your downtime hits or runs longer than local inventories support.
Eliminate the risk of running out of forms if you experience a long downtime.
Avoid the waste when disposing of pre-printed forms that are out of date.
Runs on your existing hardware. We provide the server in the cloud.
Simple all inclusive pricing includes cloud server hosting for forms administration, technology licenses, professional services, support and upgrades. Forms can be bulk loaded at no additional cost (assuming you can produce the necessary files following a naming convention. You should also expect to need to update metadata for each form.)
45 day Risk Free Trail, and get started for 10% while you load your forms and metadata. Only pay the full subscription when you are ready to distribute forms to your target machines.

Consider your current costs:
Assume the use of downtime binders with copies of downtime policies, procedures and forms. If you have 100 BCAs across 10 locations in a metropolitan area, to keep binders up to date will require driving between locations, consuming 5 hours per month. Preparing materials, walking between departments in each location and updating binders will take 15 minutes per downtime computer. 100x15/60 = 25 hours + 5 = 30 hours. Doing this 12 times a year would require 360 hours per year. At $30 per hour this cost $10,800 per year.
What is your current labor cost? $__________
If you are keeping inventories of forms at each building location the printing, delivery and inventory maintenance takes significant time and carries significant cost. Discarding out of date forms is another cost that should be considered.

Economics aside, this forms repository and binders or storerooms are not the same.
-
Enter basic patient information and generate barcoded labels and forms - which you can’t do with a binders or storerooms of forms.
-
Legible patient information will be critical for patient safety and data backload when systems are restored.
-
Staff will avoid hand writing patient information (name, DOB, gender, location, MRN, CSN) hundreds of times while you are down.
-
Your staff will be able to search and find the forms they need in a fraction of the time.
-
DowntimeForms distribution of updates is much more reliable. You can configure Packets of forms and staff can toggle printing of each form on/off as they print.
-
Reclaim precious storage space at clinics and on nursing units.
